Peculiarities of Event Planning in London

Producing events at central London venues can be particularly challenging because of the fast turnarounds required by venues and the limited access for vehicles. A number of venues also have restrictions on when equipment can be loaded into and back out of the venue as a result of curfews and licensing restrictions. 

Some venues also try to charge for everything as an extra. What starts off as looking like a great deal on venue hire can quickly become expensive down the line as you find things that you expected to be included are charged as expensive extras.

We are used to working with these challenges and have case studies of many successful events where we've worked to tight timescales without compromising the event. 

One of the most important things when it comes to keeping your costs sensible when hosting an event in London is to appoint your audio visual company early on in the planning process - ideally you should appoint your AV company before you sign your contract with the venue. 

Your AV hire or event production company  should be able to help you negotiate key points into your contract that can make all the difference to your event. Some areas for consideration  include: 

  • Access times for setup, rehearsals and derig. Many London venues (especially those that are most central) heavily restrict this so that they can sell the same room more than once on the same day. You AV company will be able to tell you how long everything is going to take and suggest ways to make it happen faster. 

  • Use of smoke and haze can transform the look of an event by making even the most "budget" lighting look like a stadium light show. Many London venues charge extra if you want to use smoke and haze because it can mean "isolating" the fire alarm sensors in the event room. Often event planners don't realise this until it's too late. 

  • Use of rigging points. Again, many London venues charge extra for the use of rigging points. These are the points in the ceiling that are used to suspend lighting, sound and AV equipment.

  • Early access to the loading bay and a holding area where AV equipment can be stored before the start of the event build to reduce set up time if access to the room is heavily restricted prior to the event. 

  • Storage for the flightcases for the AV equipment. Outside of London the flightcases can be put back onto the AV company's vehicles. This isn't always possible due to parking restrictions in central London. 

Once your venue contract is signed it's much more difficult to get concessions from venues so it's worth at least having an initial discussion with you AV company at the earliest opportunity.

The Venue already has an AV supplier. Should I just use them?

Our regular clients always choose to take us with them even if there is an in-house supplier because they know what they are getting in terms of support and quality. 

Many event venues (especially those in central London) have in-house AV equipment suppliers. Sometimes we find it can be more cost effective (and overall better value) for clients holding one-off events to go with the venue's in-house AV company. On the other hand, many in-house AV suppliers have to pay a commission to the venue and so costs can increase fast. It all depends on the venue and which in-house AV supplier they have chosen. 

If there is an in-house AV supplier we recommend that clients should get a quote from us and a quote from the in-house supplier and then compare what each company can offer.
