When planning a conference there are so many things to consider from how long your breaks should be to recording voice of God announcements and choosing the right music. We can help you with all of that as we as providing audio visual, staging, content creation, stage set design and project management services in-house. If there's something else you need, we can source it through our national network of event suppliers ensuring that your conference planning experience is as "joined up" as the conference itself.

Conference Media Creation

Our in-house sound and video designers create bespoke slides, graphics, pre-recorded announcements, music stings and video content for all sizes of conferences. If you provide the content yourself, we will thoroughly test everything prior to the event. 

On site, we can record video and audio either providing you with unedited footage or creating a final edited version for publication.

Sound, lighting, video and staging equipment all supplied from our own hire stock ensures that we have complete control of the supply chain ensuring the latest technology, quality and best value for your conference. Our staging department also supplies the elements from which we will create your conference stage set.

Conference Stage Set Design

Our in-house designers create stunning stage sets and high impact lighting designs to suit the style of your conference. 

We design simple, clean stage sets and we design outrageous, high impact stage sets. Lighting design can be as subtle as just highlighting your presenters on stage or as big and bold as The X-Factor. 

Whatever our designers create, they will provide you with a 3D visualisation prior to you approving our proposal.

Conference Production

We listen carefully your thoughts, plans and ideas. We produce 3D designs and meticulous running orders. Then we turn it all into a reality. We build your stage set in-house. We create and test your slides, videos and soundscape.

On site we supply all of the audio visual equipment and stage set hire from our own stock and you are supported throughout by a "nothing's too much trouble" project manager and a team of knowledgeable technicians who take pride in what they do.

We have delivered a roadshow of almost 30 conferences in the UK and Ireland with just 4 days' notice. We have supplied audio visual support for as many as 14 simultaneous events across the UK with locations including Manchester, Glasgow, Cardiff, Liverpool, London, Cambridge, Leeds, Sheffield, Warrington, Edinburgh, Birmingham and Chester.

Having produced conferences in most of the UK's major cities and even into Europe we have demonstrated that regardless of location we are able to provide a personal service and fast response. 

Case Study: Conference Production Victoria Park Plaza, London.

Conference production specialists Stagetex won a competitive tender process to supply all of the audio visual and staging requirements for WSO2 Con EU 2015 held at Victoria Park Plaza London.

Once awarded the contract, our in-house design team refined the conference stage set and audio visual designs for each of the 8 spaces which included a plenary room, 2 drinks receptions, an after party, a reception area and three breakout rooms.

The Stagetex project team met regularly with WSO2 and Victoria Park Plaza both on site in London and via conference call to refine the details of the conference and create the final production schedule, plans, health & safety documentation and cue lists. This included adjusting to a significantly reduced derig time of just 1.5 hours at the last minute due to another incoming conference.

Stagetex has an exceptional track record of delivering conference audio visual and production requirements for high-quality events at short notice. WSO2Con EU 2015 was delivered on 2 weeks’ notice. This included  the construction of a 24 metre wide custom conference stage set and the scheduling of over 30 audio visual technicians.

CONFERENCE Stage Set Design & Construction

By working closely with the client’s in-house event management team Stagetex was able to create a custom stage set design that was based on the event branding. This included a multi-layered 3D design for the main conference space in Victoria 1 + 2 that could be easily divided by a temporary wall which was closed to divide this area into two separate rooms during the smaller breakout sessions.

In the reception area, a large printed banner was installed in a truss surround along with printed backdrops for each of the exhibitors whilst smaller printed panels were installed to brand each of the breakout rooms.

Audio Visual Hire

Stagetex supplied all of the audio visual requirements for the event including audio, lighting, video, recording, projection and sound equipment from our own hire stock. 

Plenary Room

The largest of the spaces incorporated a 24 metre wide dual screen, 3D conference stage set which was fully branded with printed graphics and a large 3D logo in the centre. This was complemented by a pair of modern acrylic lecterns and high-impact lighting. All of the sessions were recorded (both audio and video).

The stage and set was designed to allow a partition wall to be closed during the lunch break to separate the room into two for the smaller afternoon sessions. This created additional complexities in terms of the sound, lighting and video system designs which were required to work as a whole for the morning presentations and then as two separate systems during the afternoon. Some careful design allowed this to work seamlessly and within the tight tun around time of around 40 minutes during the lunch break.

Break Out Rooms

In addition to the main plenary sessions, there were a number of workshop tracks that ran simultaneously in a total of 5 rooms. In each space, Stagetex provided a small conference sound system, projector, screen, stage lighting and a camera to record the presentations

Conference Reception & Registration

For the conference reception area, Stagetex supplied a large printed banner in a truss surround, moving lighting effects and ambient lighting from a combination of wired and wireless up lighters. This was complemented by colour matched furniture. the reception led to a small exhibition area where Stagetex supplied audio visual equipment for the exhibitors including plasma screens and sound along with printed booths. 

After Party

For the after party we provided a triangular stage with a creative lighting design for the function band. With the schedule being brought forward for the start of the after-party our lighting technicians programmed the lighting system in less than 30 minutes and pulled off a stunning show.

Conference audio visual production

We were delighted to be chosen as the audio visual production company for a Bibby Line Group Conference at The Crowne Plaza in Liverpool City Centre. Stagetex supplied a conference stage set with a large central projection screen. 

In addition to the stage set, we supplied a full audio visual production including lighting, sound and video equipment and technical support for the event.
